Core Required Materials

While the CIP Data Application contains information essential to the cataloging process, the CIP record is not derived from the application but (as required by the Anglo-American Cataloguing Rules) from the book. Consequently, the application must be accompanied by the full text or, at minimum, the core required materials as defined below.

Applications lacking these minimal requirements cannot be cataloged. Also, some applications that include only these minimal requirements may be returned to the publisher if they are not fully indicative of the book's bibliographic identity. Publishers are urged to provide as many chapters as possible (and preferably the full text) to ensure quality cataloging and to preclude interruption of the cataloging process. The core required materials follow:

1. Title page.

The title page must include all information exactly as it will appear in the published book, including the full imprint (name of publisher, all cities of publication, etc.) and such seemingly unimportant words as "by," "and," "edited by," "prepared by," etc. Do not use any abbreviations which will not appear as abbreviations on the title page of the printed work. Do not include element tags such as "Title:" "Subtitle:" "Author:" Do not include publisher editorial markings indicating font size, etc. The order and form of personal names appearing on the title page are particularly crucial. The accuracy of the title page cannot be overemphasized.

2. Copyright page.

As with the title page, the copyright page must include all information exactly as it will appear in the published book.

3. Series page.

4. Table of contents.

5. Preface and Introduction.

6. Sample chapters. Sample chapters must include:

  • All materials that precede the first substantive chapter (i.e. all materials noted above in item 1 through 5 and any other material that may precede the first substantive chapter.)

  • The first full chapter.

  • The last full chapter.

  • Anything following the last chapter, especially information about the author, or bibliographies and indexes (even if the latter are in draft form as they are often indicative of the book's contents.)

  • Other chapters that are indicative of the book's content and not reflected in the front matter, first chapter or last chapter.

Please be sure to tag the core required materials before attaching them to the CIP application form. If they are not tagged, the catalogers will be unable to access and catalog the work.
